How to Set Auto Reminders?

The Auto Reminder feature in Apptofit helps you automatically send timely messages to your members without any manual effort. It ensures that clients receive SMS reminders for membership renewals and pending payments, helping you maintain consistent communication and avoid missed renewals or overdue payments.

Types of Auto Reminders

Apptofit offers two types of auto reminders that work automatically based on your member data:

  • Membership Renewal Reminder: Sent before the plan expires to encourage timely renewals.
  • Pending Payment Reminder: Sent to members who still have unpaid dues.

These reminders are automatically triggered based on the reminder schedule set in your system.

Where to View Auto Reminder Templates

To make things easier, all SMS templates used for these auto reminders are DLT-approved and preloaded in your Apptofit account.
You can view these templates by going to:
Click on your Fitness Centre name (Available on the top right corner) → SMS Templates → View Auto-reminder SMS Templates from the Table.

How Auto Reminders Work

The working logic in simple words:

The system automatically scans your member list daily and sends reminders based on set conditions (e.g., 3 days before expiry, 2 days before expiry). These messages are sent via SMS using your configured SMS balance.

Steps to Enable or Manage Auto Reminders

  1. Login to your Apptofit account.
  2. Go to the Dashboard, Click on your Fitness Centre name available on the top right corner, a drop down menu will open, from that go to Settings and check for Auto Reminders.
  3. You can specify how many days before the reminder should be sent.
    For example, if you enter “2” in the box, it means the reminder will go out 2 days before the due or expiry date.There’s also an option to disable reminders by selecting “Never.”
    So, if you don’t want any automatic reminders, just choose “Never” from the dropdown.
  4. Scroll down the page and Click Update to activate the reminder.

Once enabled, the system will automatically start sending reminders on schedule without needing any further action.

Troubleshooting Tips

If auto reminders are not sending as expected:

  • Check if your SMS balance is available.
  • Ensure that Auto Reminders are selected as BEFORE in your settings.
  • Verify that your reminder timing is (e.g., “3 days before”) is correctly set.
  • Confirm that all member mobile numbers are valid 10-digit numbers.

If the issue continues, contact Apptofit Support with your account ID and a brief description of the problem for quick assistance.

Important Notes Before You Start

  1. SMS Gateway & Sender ID:
    Apptofit’s default SMS gateway is already configured, so your messages will be sent using Apptofit’s official SMS Sender ID.
    • If you want to send messages using your own business Sender ID, you’ll need DLT registration. Once you share your DLT details, our team can configure it for you. Learn More about SMS DLT Registration.
    • Even without your own Sender ID, your fitness centre name will automatically appear in the SMS.
  2. SMS Balance & Client Details:
    • Ensure you have enough SMS balance in your account.
    • You can check or recharge your SMS balance anytime from the General Dashboard.
  3. Client Data:
  • Verify that all member mobile numbers are correct and active.
  • The {{name}} tag in messages automatically pulls the client’s name, so keep member data properly updated.

With Auto Reminders, you’ll save time, maintain consistent communication, and reduce missed renewals — helping your gym improve revenue and member satisfaction effortlessly.

NOTE: If any of your customers activated DND (Do Not Disturb) then none of the SMS is send to them
