How Auto Attendance Works in Apptofit?

Apptofit’s Auto Attendance feature makes managing attendance simple, fast, and accurate.
With biometric integration, the system automatically records every check-in and check-out of members, trainers, and staff — removing the need for manual updates.

This ensures real-time, error-free attendance tracking and helps you keep complete control over your gym operations effortlessly.

Supported Biometric Device

We support devices like ESSL X990 for both attendance and door access. The biometric punches (Fingerprints) are synced with our online Apptofit application to track attendance and control access.
This device is highly reliable, fast, and designed for commercial use in gyms and fitness centres.

How It Works

Once your biometric device is linked to your Apptofit account, the system automatically records attendance whenever someone scans their fingerprint.

  • Attendance is updated in real time.
  • The system automatically identifies whether the person is a Member, Trainer, or Staff.
  • You can instantly view who has checked in — right from your Apptofit attendance section.

No manual marking, no confusion — the attendance is logged automatically and accurately every single time.

How Access Control Works with AppToFit

  1. Automatic Blocking of Expired Members:
    When a member’s subscription expires, the system allows a couple of biometric punches attempts just to recognize the user. After that, it delete’s the fingerprint from the device (not the user account), to restrict further entry. This ensures that only valid members can access the facility.
  2. Reactivation Upon Renewal:
    If a member renews their membership, their fingerprint must be enrolled again manually on the biometric device. This is because the original fingerprint is deleted from the device after expiry, and for security reasons, it cannot be restored automatically.

Setup Process

  1. Device Installation:
    Install the ESSL X990 device at your gym’s main entry or reception area. Connect it to power and the internet (LAN connection is must not WIFI).
  2. Configuration:
    Once the device is installed, Apptofit’s technical team will configure it to sync directly with your gym’s Apptofit account.

    BIO-METRIC INTEGRATION CHECKLIST:
    • Both computer system & biometric device should be directly connected to router
    • The biometric device and the system must be on the same network.
    • Windows OS 8 and above, no support for Apple Mac
    • During testing, attendance data might be deleted from the biometric device.
    • If required, we may have to disabled windows firewall in the Windows OS
    • The door lock functionality must be tested first as compatibility varies with the devices.
    • For the integration process, we will need full access to connect via AnyDesk (a remote desktop application) full access.
    • We have ONLY online support, we dont’ have in-person support.
    • Regarding any hardware-software issues at the client end-needs to be resolved by the client itself.
  3. Register Members and Staff:
    Add fingerprints for all members, trainers, and staff into the biometric device.
    Make sure the Member IDs in the device match those in Apptofit for smooth data syncing.

    STEPS TO ENROLL NEW MEMBER IN BIOMETRIC DEVICE:
    • Log in to your account, create a new client, and assign the desired membership.
    • After successfully creating the client, go to the Clients tab. You will find a Bio ID assigned to each client in the list.
    • Copy the Bio ID, open the Device Connected Window, and click the Enroll button.
      Paste the Bio ID, enter the client’s name, and click Enroll again.
    • After that, the biometric device will prompt you to scan the member’s finger three times.
      Complete the scans, then click OK in the device window to finish the process.
    • Follow the same process to enroll staff or trainers
  4. Automatic Sync:
    After setup, every scan on the biometric device will automatically reflect in Apptofit’s attendance records — no manual effort required.

Viewing Attendance in Apptofit

You can monitor attendance directly from your Apptofit:

  • After login to your Apptofit’s account, go to Dashboard → Then go to MORE option from the top menu
  • There will be Attendance section, under that you can view regular attendance, clients monthly attendance, staff attendance and trainers attendance.
  • View daily attendance, check-in time, total no of check-in’s, date of attendance, membership end date, and days left in membership.
  • Filter data by date, member, or staff for detailed insights.

Attendance reports are updated live — so you always see the latest data at a glance. Also you can export attendance in Excel or PDF format.

  • Ensure the device is connected to the internet (LAN).
  • Restart the device if syncing delays occur.
  • Verify that the BIO ID matches in both the device and Apptofit.
  • Clean the fingerprint scanner surface for better recognition.
